Who we want

The Part-Time Administrative Coordinator II provides 20-30 hours of support to the Reading clinic by coordinating various processes and procedures such as creating, maintaining, and updating clinic schedules, materials and providing website maintenance. Coordinates registrations for professional development, reading tutoring and all other literacy services provided through the Clinic for Advanced Literacy Studies (CALS) reading tutoring and all other literacy services provided through the Clinic for Advanced Literacy Studies (CALS).

Qualifications

Required Education and Experience:

  • Bachelor's degree or equivalent combination of education and business experience

  • Three years of experience in office administration

Preferred Qualifications:

  • Experience working with PK-12 children

  • Four years of experience in office administration, including quality improvement

  • Experience with confidential information and its maintenance

  • Experience in public customer services

  • Experience with building an organization from the beginning

  • Experience managing data records

    Responsibilities

Clinic for Advanced Literacy Studies Process Support:

  • Participates in the planning and execution of administrative operations

  • Coordinates processes and procedures for Clinic for Advanced Literacy Studies and makes recommendations for changes to streamline operations and improve efficiency

  • Coordinates the tracking and routing of reading clinic enrollment and professional development enrollment

  • Corresponds with professional development faculty, reading clinic tutors and families and CALS staff regarding schedules, agendas, meetings and other official records

  • Manages training schedules, locations, meetings, seminars, special events, travel arrangements, and prepares itineraries with appropriate faculty and staff

  • Coordinates and monitors registrations for professional development, reading tutoring and all other literacy services provided through the Clinic for Advanced Literacy Studies (CALS)

Administrative Support for Clinic for Advanced Literacy Studies:

  • Coordinates reading clinic enrollment, reading clinic sessions, professional development enrollment, as well attendance of reading clinic, enrollment of reading clinic and personal records associated with each

  • Trains student workers and support staff

  • Researches, interprets, compiles, and responds to inquiries about rules, regulations, policies and procedures

  • Works with Director of CALS to communicate to teachers, tutors, parents and students, which includes drafting communication emails for the Directors review

  • Creates notices, agendas and newsletters for the reading clinic and professional development

Business Duties:

  • Serves as a liaison to the TLAC Business office with Emburse and AggieBuy entries for CALS faculty, Graduate and Undergraduate Students

  • Coordinates with TLAC Business office to order supplies

Social Media/Website Maintenance:

  • Works with College of Education and Human Development (CEHD) Communications department to keep all information on website up to date

  • Coordinates and maintains content for all CALS social media accounts in coordination with Communications
