Hyatt seeks an enthusiastic Administrative Assistant II to join our Hyatt Studios team where you’ll join a team of 15 field professionals who love what they do. In this role, you will be collaborating closely with the broader Growth team where you’ll be instrumental in continuing to make Hyatt a leading hospitality company. The Role

Under general guidance, this individual will provide a high level of administrative support in the form of, but not limited to, calendar management, conference calls, greeting guests, and meeting/event planning. Coordinate and manage US and international travel arrangements (flights, hotel reservations, travel visas). This individual will also assume ownership of key pieces of the Hyatt Studios team’s operations and will facilitate communications to the staff and gather information as needed as well as liaise with a variety of functions throughout the organization.

Responsibilities

•Coordinate meetings and events on-site and off-site.

•Draft, edit or proofread correspondence as needed.

•Answer and screen incoming communications, relay messages as appropriate or handle requests, if possible.

•Maintain calendars, contact lists, team roster, and org charts.

•Schedule meetings, both in person and remote.

•Manage all aspects of travel arrangements and provide detailed trip itineraries.

•Create, organize, and maintain manual and computerized file systems and databases of highly confidential data.

•Invoice management, vendor relationships, and outside resources.

•Prepare and process business expense reports and payments.

•Work independently on special projects, including:

•Support scheduling and coordination of meetings with external stakeholders, including owners and operators. Take meeting minutes and responsibility for supporting the team in the visibility of action items, follow-ups, and deadlines.

•Support the operations team in documenting task lists and checklists related to Hyatt Studios hotel openings. Maintain organized files and documentation.

•Must be able to multi-task and prioritize effectively.

Qualifications:

Experience Required:

•3 years of administrative assistant experience

•Capability of working independently

•Use good judgment and decision-making

•Ability to manage multiple, and at times competing, projects

•Fluent in MS Office including Word, Excel, PowerPoint, and Outlook. For PowerPoint, the ability to adeptly create slides, presentations, and charts is a strong plus

Education:

High School diploma required: some college coursework preferred

Computer Skills Needed to Perform this Job

•Strong working knowledge of Outlook, Word, Excel, and PowerPoint
