SUMMARY:
The Administrative Assistant position is a support position that assists with operational non-sales functions in a professional, polished manner, working directly with members of the Executive Leadership Team, Operations Team and Branch Office Network. Understands the organization’s office administrative practices and procedures. Is sensitive to the interrelationship of both people and functions within the organization. Develops and maintains good working relationships with management and co-workers
ESSENTIAL DUTIES AND RESPONSIBILITIES:

Executive Support:
May be asked to manage a wide variety of projects, documentation, reports and communications under the general direction of the Executive Leadership team.
May coordinate and schedule meetings, as needed
May support Executive and Operations Teams with data entry and other related projects
Office Management
Order employee name plates, local employee office signage, as needed
Maintain local office security, office organization, cleanliness and tidiness
Maintain local vendor relationships
Handle repairs and maintenance of all non-IT equipment and facility issues
Communicate proactively with local property manager to report and correct problems
Assist with select new hire onboarding and offboarding including the granting of removal of office, building, and parking accesses
Responsible for the local office supply inventory levels and stocking of supplies. Primary individual to interact with supplies regarding price, delivery and order discrepancies
Incoming/Outgoing mail, including 3rd party letter or package mailings (FedEx, UPS, etc.)
Answering general mailbox phone calls, checking general mailbox voicemails and routing all accordingly
Creating/maintaining office key fobs and door codes; validating parking vouchers
Monitoring the office entry for guests and providing them entry into the office accordingly
Scanning client payment checks and carrier commission checks
Assist any department with printing/assembling/mailing projects
Manages the supply and order of business cards for all local HUB personnel
Events Coordination
In-office events such as birthdays, lunches, potlucks, business meetings and employee celebrations
May coordinate external events on behalf of the Executive Team such as holiday party and other social functions and local conferences
Coordinate HUB Gives initiatives in coordination with charity/fun committees and HR
Participate in and/or lead charity/social/fun committee meetings and ensure events are organized as per the Executive Leadership Committee’s availability and budget allowed
May coordinate with administrative staff at other offices within the region to schedule and organize events such as Town Hall Meetings, Executive Management Team Meetings and Employee Appreciation Day.
Performs other duties and projects as assigned
EDUCATION, LICENSING OR CERTIFICATION REQUIREMENTS:
2-5 years of applicable administrative/customer service experience preferred
Exceptional written and verbal communication skills
Superior customer service and problem-solving skills
Proficiency with Microsoft Office Suite (PowerPoint, Word, Excel, Outlook)
Detail-oriented self-starter
Strong leadership, mentoring, and team-building skills
Significant skill in handling competing demands and projects
Excellent organizational skills and ability to prioritize and delegate responsibility
High School Diploma or GED
Department Account Management & Service
Required Experience: 2-5 years of relevant experience
Required Travel: Negligible
Required Education: High school or equivalent
