Administrative Assistant II-Chemistry and Physics

 

The department administrative assistant provides administrative support to the department chair, faculty, and staff in the department. The administrative assistant plans, organizes, and coordinates the administrative affairs of the department. The position will include a variety of tasks, such as managing and monitoring budgets; preparing faculty and staff contracts and EPAFs; preparing reports and maintaining records; purchasing equipment and supplies; coordinating and submitting department scholarships; responding to student, faculty and administrator inquiries; working with the department chair on planning and developing course schedules; monitoring faculty workload and schedules to optimize faculty productivity, space usage, and student course access; coordinating travel; maintaining

and updating the department web page and acting as web liaison with web services and IT; hiring and supervising student workers; maintaining, coordinating, and as necessary administering the Chemistry ACS standardized exams; and other duties as assigned.

 

Duties and Responsibilities:

 

• General office support

• Manage department and grant budgets

• Manage purchasing and ordering of equipment and supplies

• Supervise student workers, including onboarding, time sheets, and termination

• Assist in developing/managing course schedules; monitor workload and schedules and recommend/make changes as necessary

• Coordinate/Administer ACS Standardized testing program

• Coordination/Submission/Awarding of departmental scholarships

 

Additional Duties

 

• Assist in department event planning

• Coordinate student/faculty travel and reimbursement

• Maintain/Update department web page

• Other duties as assigned

 

Education and Experience Requirements:

 

• High school diploma or GED.

• Experience with basic computing tools, including email, web, word processing, and spreadsheets.

• Excellent communication and interpersonal skills.

 

Preferred Qualifications

 

• Associates degree.

• Working knowledge of Banner or a similar student/financial management system.

• At least two years of recent office administration experience
