The Position:

The Finance Department of the City of Carlsbad currently has an opening available for a part-time Accounting Assistant position.

Key Responsibilities

KEY RESPONSIBILITIES:

Part-time Accounting Assistants perform the following functions:

  • Provide billing, accounts receivable, and/or accounts payable customer service over the phone and record accurate records.

  • Assist with processing accounts payable and/or receivable including by not limited to the preparation of billing requests, invoice creation, mailings, customer service, journal entries, processing of invoices, or payment of checks.

  • Perform routine data entry into financial management software and/or other electronic software programs.

  • Review & check records, forms, and other documents for accuracy, completeness, and conformance to rules & regulation.

  • With assistance, interpret state/federal codes, laws, the city ordinances, and policies and procedures related to accounts payable or accounts receivable.

  • Provide both internal and external customer service.

  • Prepare correspondence.

  • Provide services as needed to assist in accounting functions throughout the city.

  • Knowledge of principles, practices, terminology, and forms used in bookkeeping and accounting work is desired but not required.

Qualifications

QUALIFICATIONS:

The requirements listed below are representative of the knowledge, skills and/or abilities required:

  • Proficient in Microsoft Office (including Word, Excel and Outlook)

  • Possess high level of attention to detail

  • Excellent written/verbal communication skills

  • Work cooperatively in a shared space

  • Manage multiple tasks in a fast-paced environment

  • Operate a 10-key machine by touch

Experience & Education

EXPERIENCE & EDUCATION:

Any combination equivalent to experience and education that could likely provide the required knowledge and abilities would qualify. For the part-time Accounting Assistant position, a typical way to acquire the skills and abilities would include at least one year of experience in cashiering, bookkeeping, accounts payable, and/or education involving accounts payable theories and practices.

PHYSICAL REQUIREMENTS:

While performing the duties of this class, an employee is regularly required to sit, walk and stand. While performing the duties, employees of this class are regularly required to use written and oral communication skills; observe and interpret people and situations; learn and apply new information or skills; and interact with staff and others encountered in the course of work.

Part time positions do not have benefits, and cannot exceed 980 hours in a fiscal year (July 1- June 30).
