This is an individual contributor role with a primary focus on administering assigned leave and disability benefit programs while lending support to the overall performance of the various employee benefit plans for U.S. employees. This individual will work closely with Human Resources and Payroll to drive consistency and compliance in all benefit and leave-related matters.

Review and administer leave requests, including but not limited to Short- and Long-Term Disability, Family and Medical Leave Act (FMLA) and Parental Bonding Leave. Provide assistance to and partner, with vendor management, employees, human resources and business operations. Develop and maintain various leave administration databases and spreadsheets. Track compliance and generate reports as requested. Assist with and/or lead special projects as directed. Prepare communication materials and conduct employee meetings/orientations for division HR staff as needed.

Liaison for employees in all divisions and corporate personnel, including HR staff, regarding escalated member issues (eligibility, coverage, claims, etc.). Work with vendor partners to ensure resolution of eligibility and claim issues. Prepare accounting as needed for vendor remittance and reconcile employee contributions. Partner with Payroll, HRIS and division HR team to ensure smooth operation of plans and value-added employee experience.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Receives and responds to all correspondence related to leave requests and processes are executed in accordance with established timelines.

  • Communicates with employees, as necessary, to administer the leave of absence programs.

  • Audits and updates procedures used for processing leave requests to ensure compliance with laws, regulations, and internal policies.

  • Maintains leave-related records in compliance with laws, regulations, and internal policies.

  • Manage employee action forms for system updates in coordination with data entry team pertaining to the employee’s leave and ensures that the systems accurately reflect the employee’s status and paid leave utilization.

  • Audits and monitors employee leave accrual banks and sends corrections and adjustments to the Payroll Department.

  • Maintains data and spreadsheets in partnership with vendor that administers leave of absence cases.

  • Develops and maintains reports for management review and analyzes data from reports.

  • Works with employees, managers, HR partners and vendor management on all cases.

  • Gathers information for and assists with the Americans with Disabilities (ADA) Accommodation processes as needed.

  • Works with supervisors and Leave Administration team to identify and address those employees who may have misused sick leave benefits.

  • Assist with and/or manage special projects as needed (e,g. development of leave-related policies and protocols).

  • Participate in reviewing, developing, and implementing benefits programs to ensure compliance with regulatory and/or market practice changes.

  • Assist with the audit of benefit plans for compliance with government regulations, including the preparation and submission of government-mandated reports, filings, and plan documents. Ensure compliance with IRS and DOL regulations.

  • Assist with the process for preparing, communicating, and tracking benefits related matters for collective bargaining agreements.

  • Prepare written employee communications, plan employee communication meetings and presentations.

  • Support Benefits Team and division HR Team on benefit-related matters and transactions that require intervention and interpretation. Ascertain appropriate resources and assist in resolution.

  • Communicate with employees, retirees, dependents and beneficiaries regarding eligibility, coverage, and other benefits matters.

  • Prepare and analyze standard and ad hoc benefit related reports based on business need. Maintain benefits records and documents.

  • Assist with the coordination of wellness program initiatives including biometric screenings, immunizations, health assessments and more.

  • Assist with annual benefits open enrollment: coordinate internal and external resources to ensure system updates, communications, and all materials are accurately and timely distributed.

  • Three or more years of progressive experience administering employee health and wellness benefit plans and leave administration.

  • Leave Administration regulations and processes with emphasis on FMLA administration and multi-state paid leave laws.

  • Benefit experience in large, public company to include self-insured/self-funded plans.

  • Experience with stoploss insurance, ERISA, HIPAA, ACA, and other legislative and compliance requirements.

  • Familiarity with retirement plans and collective bargaining agreements.

  3. Experience in developing SPDs, Plan Documents, WPDs, etc.

  4. Experience with high-deductible medical plans with HSA/HRA a plus.

  5. Experience with defined benefit pension and defined contribution retirement plans a plus.
