New Era LLC Coordinator, Procurement in Buffalo, New York
The Coordinator, Procurement serves as the main point of contact for maintaining data integrity for all information residing in the vendor database. This role will manage the purchasing process by collaborating and negotiating with vendors, tracking orders, and ensuring quality expectations are met with on time delivery. With high visibility throughout the organization, they collaborate and communicate with internal stakeholders regularly.
Responsibilities
Vendor Management
Own the Vendor Master File ensuring an accurate database of vendors to mitigate duplicates and inaccuracies
Manage the Vendor Creation email account and action requests from stakeholders, ensuring all information is received and documented, and including other departments as necessary
Review and approve vendor creation requests on behalf of Procurement
Make changes to vendors as requested and gain approval from treasury
Extend vendors to other countries as requested, ensuring all tax and banking requirements are met
Annual review of duplicate suppliers
Annual review of inactive suppliers
Annual review of suppliers not assigned
Other duties as assigned
Procurement
Oversee the Procure to Pay lifecycle
Approve Purchase Requests
Issue Purchase Orders
Process and/or approve invoices
Collaborate effectively and develop strong relationships with internal stakeholders and external vendors
Manage procurement activities, including the negotiation and purchasing of goods and services, while maintaining accurate records
Identify potential vendors and evaluate capabilities to ensure a strong vendor base
Track vendor orders to make sure goods are received on time and in full
Train on ERP system for all Procurement functions
Collaborate with distribution centers to optimize inventory levels and minimize stockouts
Manage various procurement projects simultaneously, ensuring each one is progressing smoothly and meeting required timelines
Keep all sensitive matters confidential

Knowledge, Skills and Abilities
Must have a proven track record of quick learning and working independently
Able to balance multiple priorities and deadlines
Effective communication by being clear, concise, and knowledgeable (verbal, written, etc.)
Great attention to detail and accuracy
Organizational acumen and able to prioritize tasks effectively
Builds strong relationships with both internal stakeholders and external partners
Thrives in a fast-paced and ever-changing environment
Proactive problem solving with the ability to anticipate potential roadblocks, and propose solutions
An efficient mindset always looking for ways to improve processes and ways of working
Working knowledge of an ERP system, preferably SAP and Concur
Competent in Microsoft Office (Outlook, Excel, Word, PowerPoint)
Education and Experience
Bachelor s degree in business administration or other relevant studies strongly preferred. Relevant job experience in lieu of degree will be considered
One (1) to Three (3) years of experience in data entry and computer systems

The salary range for this posted position is $50,500 - $56,500 (plus bonus & benefits) and pertains to candidates located in Western New York. Actual compensation is determined by a wide array of factors including but not limited to skill set, education, essential job duties and requirements, and necessary experience.
