Position classification

Hybrid -- Job duties and expectations allow for onsite and remote work scheduled every week. Employees in this classification are regularly scheduled onsite one (1) to four (4) days per week based on the County needs and as determined by Department Director. Hybrid classified roles can be onsite more than the set minimum based on employee preference.

What Success Looks Like In This Job

Balance and reconcile the daily revenues received in seven Motor Vehicle branch offices, Recording, and Election departments. Enter revenue and deposit information in the computer and ensure accuracy.

Hiring Range = $22.629 - $26.023

Full Range = $22.629 - $31.681

Examples of Duties for Success

  • Balance and reconcile daily revenues in seven Motor Vehicle branch offices, including Kiosk, Online, and TPT drawers. Verify DRIVES cash drawer receipts to deposit slip to determine errors if revenues do not reconcile.

  • Balance and reconcile daily revenues in the Recording and Election departments. Check department balancing software to deposit slips to determine errors if revenues do not reconcile.

  • Enter revenue and deposit information in a computer using Excel spreadsheets.

  • Ensure accuracy of information posted to spreadsheets by cross-referencing the reports in the DRIVES software.

  • Assist with reconciling the monthly bank statement for the Clerk’s office.

  • Track returned checks processed by banking and online institutions for all Clerk & Recorder departments. Send correspondence as necessary and maintain payment records in appropriate excel spreadsheets and files. Send sequester letter to Sherriff’s office if payment is not received in the allotted time.

  • Answer phone calls and provide general accounting information to external customers on refunds and return items.

  • Answer inquiries from the Sheriff’s Office regarding sequesters on customers’ plates.

  • Audit vaults and all cash drawers for the Recording and seven Motor Vehicle offices.

  • Highly knowledgeable in the DRIVES software to answer questions for external customers, in addition to answering questions and troubleshooting with Motor Vehicle managers on financial topics.

  • Refund checks: Create a vendor number, process a refund check, and/or verify the refund check to a written refund letter to confirm the information matches before mailing it to a customer.

Qualifications for Success

  • Knowledge of data entry procedures, typing ability, and basic math and grammar skills. Accuracy in counting, posting, mental alertness, and adaptability to routines.

  • Knowledge of or the ability to learn the statutes and regulations affecting the various departments of the Clerk and Recorder office.

  • Able to maintain compliance with the State and County requirements. This includes the annual security training for Adams County and the DPPA training through the State.

  • Ability to operate standard office equipment such as computers, copy, adding machines, and telephone systems.

  • Knowledge of computer software relative to accounting such as Excel.

  • Knowledge of DRIVES software, a specialized computer system used by the Motor Vehicle offices.

  • Knowledge of or the ability to learn specialized software systems used by the Recording department and JD Edwards used to cut refund checks in the accounting department.

  • Ability to work with other government offices, entities, banks, and financial institutions.

  • Ability to learn Clerk and Recorder’s policies and procedures.

  • Interpersonal communication skills and the ability to establish effective working relationships with County staff, the public, other officials, and entities.

  • Communicate clearly and concisely, both orally and in writing.

  • Establish, maintain, and foster positive and harmonious working relationships with those contacted in the course of work.

  • Education and Training:

  • High School diploma or GED equivalent.

  • Experience:

  • Two (2) years of Motor Vehicle experience.

  • One (1) year of bookkeeping or accounting experience. Equivalent education may be used for experience.

  • License or Certificate:

  • Possession of, or the ability to obtain, a valid Colorado Driver’s License.

  • Ability to become deputized.

  • Background Check:

  • Must pass a criminal background check.

  • Other:

  • This role has the ability to operate in a hybrid capacity. Requires the ability to work independently and communicate effectively if the schedule allows working from home.
