SCHEDULE: Exempt. Generally, Monday - Friday 8:30 a.m. to 5:00. Additionally the position requires an appropriate level presence and leadership for 24/7 operations including occasional night and weekend work, and availability during emergency events.

LOCATION: 444 Harrison Ave. Boston and other regional locations as needed. This position is eligible for hybrid work pursuant to PSI-s Remote Work Policy.

JOB DESCRIPTION:

SUMMARY OF POSITION

Reporting to the Vice President of Operations, the Senior Director of Facilities and Capital Planning provides leadership, direction and implementation support for Pine Street Inn-s portfolio of 24/7 operational services including capital projects, facilities management, housekeeping, fleet services, logistics and central support, and related facilities job training programs.

The Senior Director leads Pine Street Inn-s facilities and housekeeping services that cover more than 800,000 sq. ft. of real estate across all locations, including emergency shelters, congregate style housing sites, individual apartments leased throughout the Greater Boston area and administrative offices. In addition, this position will have strategic and tactical responsibility for all future program and administrative space planning.

The Senior Director will balance future strategic Program planning against financial and operational priorities and work with the Programs teams to ensure all capital assets are utilized efficiently while providing increased service and support to those we serve. The Senior Director will also play a key role in the development and requirements gathering for all new asset-related projects.

This position also serves as the primary point of contact for community partners including the City of Boston-s Fire, Police, Inspectional Services, Public Health and Office of Housing departments and their agents; and the Commonwealth of Massachusetts EOHLC, Veteran-s Administration, Department of Public Health; and Department of Mental Health.

Serving as a member of Pine Street Inn-s Operations Leadership Team and Program Working Group, the Senior Director works closely with other key departments to deliver highly efficient, cost-conscious services that are sensitive to the physical and emotional well-being of Pine Street Inn clients, staff and neighbors.

REQUIREMENTS:

QUALIFICATIONS

EDUCATION/TRAINING

REQUIRED: An undergraduate degree with a focus on engineering, construction management, business administration or management or equivalent experience.

PREFERRED: A master-s degree or equivalent experience in business administration, planning or management.

KNOWLEDGE/EXPERIENCE

REQUIRED: minimum of 10 years of progressive financial and personnel management experience within facilities management, housekeeping, food services and construction. Successful experience directing an organizational unit of similar scope and size through significant change. Technical project planning, mechanical and construction experience. Adeptness with technical management, financial and inventory systems.

PREFERRED: minimum of 10 years of progressive of operations management experience within an acute human services environment. Special knowledge and experience with project and financial management software.

  • Ability to sit for long periods of time.

  • Ability to physically access numerous locations, buildings and sites which includes walking, climbing, stooping, bending, and stretching.

  • Ability to physically respond quickly in emergency situations.

  • Valid driver-s license.

    ESSENTIAL FUNCTIONS:

    Leadership

  • Possesses strong core ethics, integrity, and accountability consistent with Pine Street Inn-s Mission, Vision and Values.

    Asset & Facilities Management

  • Directs implementation and continuous improvement of Facilities, Capital and Housekeeping work, resulting in high quality, efficient and cost-effective delivery of services.

  • Contributes to the delivery of operational objectives by reducing facility costs and improving productivity, and providing a safe and efficient working and living environment for staff and guests.

  • Ensures buildings, campuses, life-safety protocols, sanitation, transportation, and health procedures are in full compliance with all local, state and federal regulations and insurance requirements.

  • Communicates operational objectives and plans to facilities staff and ensures plans and polices are consistently implemented.

  • Provides on-site crisis management as necessary during facilities, weather, and other emergencies.

  • Implements bidding, selection and management of key Facilities contracts to maximize quality services and contain costs.

  • Directs energy conservation/green and recycling initiatives, responsible for ongoing energy use tracking, analysis and project management.

  • Responsible for all aspects of Fleet Management: repairs and maintenance, capital planning inclusion, parking administration, and fleet policies (for staff and recruiting). Maintains fleet rotation policy and uses data to inform decisions over time.

  • Participates in contract negotiations, account management and monitors performance for facility-related revenue opportunities, including billboards, cell towers and other opportunities.

    Capital Planning

  • Leads Capital Planning efforts to gather requirements, crosswalk them against the strategic plan, protect the assets and summarize priorities and costs. Delivers the planned projects on time and within budget.

  • Leads and monitors all Facilities and Capital Planning budgets, monitors expenditures and controls costs. Works with the Finance Department to establish allocation of projects, balance against Advancement grants and provide full accounting and cash flow reviews with Operations and Finance.

    Agency/Mission Support

  • Continually improves guest, tenant and staff experience through partnerships with all PSI departments.

  • Lead, manage, support and retain staff who work directly with individuals with untreated mental illness and substance abuse issues.

  • Responsible for the reporting system development to set the agency up for strategic growth for support of facilities and assets.

  • Strategic direction on cross-departmental initiatives to improve communication and response for ongoing concerns (e.g., pests, hoarding).

  • Directs and leads the agency in the long-range facilities space planning, including management of all consolidation, hoteling and other office initiatives, including administrative management, project management, change management and technical solutions and sustainable supports.

  • Responsible for centralized clearing of mail and call-ins (e.g. Hub). Expand to other areas of the agency to support the need for central tracking.

  • Supports the development of state contracts and private fundraising efforts led by other Pine Street Inn departments.

  • Responsible for all storage and delivery logistics for the agency.

  • Undertakes other duties and/or assignments as assigned.
