JOB DESCRIPTION AND POSITION REQUIREMENTS:

Penn State Extension in Beaver County is seeking to hire a part-time administrative assistant. This position reports to the area business operations manager and works closely to support extension educators and staff, other administrative assistants, and the area client relationship manager to help ensure the smooth and efficient daily operation of the office.

Specific responsibilities can include:

  • Providing excellent customer support to walk-in, phone, and email customers

  • Providing general clerical support by developing program flyers, brochures, press releases, copying/printing program materials, and preparing participant packets

  • Acting as the events registration manager to assist event leaders with event registrant status updates and any forms needed for events

  • Working closely with the extension financial admin assistant regarding the process for handling all incoming funds

  • Assisting with the local office’s social media communications

  • Maintaining the conference room calendar and facilitating its use by external entities during normal business hours

  • Acting as liaison between the office and the landlord to report any facility maintenance needs

  • Maintaining soil test kits and water test kits inventories for the local office

  • Processing incoming and outgoing mail and package shipments as needed

  • Performing other tasks as needed in coordination with the business operations manager

The Administrative Assistant must:

  • Maintain a professional appearance, represent Penn State and the Penn State Extension Office in a professional manner, and exercise sound professional judgment in carrying out duties under the direction of the business operations manager.

  • Possess excellent customer service, communication, organizational, and interpersonal skills, and be attentive to detail while handling multiple tasks and deadlines

  • Exercise discretion when handling sensitive and/or confidential information

  • Work as an integral part of the overall Extension team and follow procedures as determined by Penn State Extension and Penn State

  • Be able to work independently to multi-task and prioritize the workload in a fast-paced, ever-changing environment while at the same time being willing to reach out for clarification or assistance when needed

  • Possess excellent grammar and proofreading skills and proficiency using Microsoft Office (Teams, Outlook, Word, Excel, PowerPoint) and be willing and able to learn other software, including the Salesforce customer management platform and Adobe Acrobat.

Preference will be given to candidates with 2+ years of related experience and a high school diploma, or an equivalent combination of education and experience.

The position is based at Penn State Extension’s Beaver County office, 1000 Third Street, Beaver PA 15009.

This is a part-time position working 24 hours per week Tuesday through Thursday. Some rare evening or weekend work to support Extension that is coordinated with and approved by the business operations manager may require a flexible workday schedule. This part-time position is not eligible for PTO or tuition discount benefits.
