Kennedy Krieger Institute Scheduling Coordinator I in Baltimore, Maryland

Overview

The Scheduling Coordinator I will collect patient and treatment information, estimate deposit requirements, provide cost estimates, determine patient liability, establish payment arrangements, and coordinate payment arrangement information for outpatient and day programs with non-par payer sources.

Responsibilities

  1. Schedules new and follow-up patient appointments.

  2. Answers phones, directs calls as needed, takes messages, returns calls to answer inquires/questions, and provides accurate and timely follow-up.

  3. Ensures that new and follow-up appointments are confirmed prior to the date of service.

  4. Ensures clinic(s) waitlist letters are sent to parents/families in a timely fashion.

  5. Continually monitors scheduling. Moves patient appointments if necessary to maintain the highest level of efficiency and patient satisfaction.

  6. Maintains and updates scheduling templates for all providers, to include personal leave requests.

  7. Tracks all new and follow-up patients using the scheduling system and works with providers and other Care Centers to ensure proper scheduling related to patient needs.

  8. Maintains regular contact with patients, clinics, and departments regarding pending insurance clearances, coverage, issues, and/or follow-up activity. Responds to patients, families, and clinic issues in a timely and professional manner.

  9. Provides routine financial counseling and seeks assistance from the supervisor when obtaining answers to resolve patient issues.

  10. Maintains a general and updated understanding of insurance requirements as they relate to the Care Center.

  11. Retrieves and assesses system information related to insurance authorization for patient services from the Care Management Operations department.

  12. Collects, tracks, and processes quality improvement and patient tracking data as needed.

Qualifications

EDUCATION:

  • High School diploma or equivalent required.

  • Associate or higher degree in human services, healthcare administration, or related field preferred.

EXPERIENCE:

  • 1-3 years’ experience with patient registration, scheduling, and/or coordinating patient services required.
