Overview

The Program Manager of theCenter for Diversity in Public Health Leadership Training (CDPHLT)/ Office for Health EquityInclusion and Diversity (O-HEID) provides the day-to-day operations, curriculum coordination, contractdevelopment and tracking of revisions, and coordinates and manages communication between program, grantsmanagement and finance, ensuring grant costs are appropriately charged. The Program Manager is a strategicproblem-solver who identifies and provides appropriate solution options to the co-directors of the CDPHLT/Principal Investigators and O-HEID by managing day-to-day program activities at the CDPHLT. TheProgram Manager is responsible for developing reports for federally funded training grants, recruitment andapplication processes, trainee onboarding and mentoring, data tracking, and overall research support, includinguploading and tracking revised evaluation forms, tracking renewal submission dates, assisting with grantapplications, acquiring information necessary for letters of support and contracts, etc. This position may lead toa faculty appointment at the Johns Hopkins Medical Institutions.

Responsibilities

  1. Manages and organizes grant activities, including updating timeline of activities (e.g., subcontracts,recruitment of mentors and students, federal reports, housing, travel, student registration, IRB updates)and responsibilities for the team and sharing on Teams. Implementing efficient strategies to accomplish,

delegate when necessary and track through to completion of activities. Identifying barriers and solutionsto timely completion of grant activities.

  1. Ensures up-to-date information is posted on the Kennedy Krieger Institute website.

  2. Reviews and revises budgets. Work with grant financial analyst team to update costs for approval bydirectors. Work with grant financial analyst team to review and identify changes in costs and adjustbudget. Work with grant financial analyst team to guide development of budget justification for existingand new grants.

  3. Drafts the program content sections of federal reports for funded grants. Track to ensure compliance withInstitute and federal requirements and submission dates.

  4. Tracks completion of subcontracts through coordination and communication with Institute grants’management office, training administration, human resources, and administration to meet the dailyoperating needs.

  5. Understands and be able to access and use all grant-related documents, forms, and application information.

  6. Manages overall day-to-day operation of grant and mentor and student-related activities across nationaltraining sites (e.g., evaluations, housing contracts, travel, and conferences). Coordinate and implementstudent and mentor recruitment strategies.

  7. Organizes an efficient system to manage, coordinate, and track CDPHLT student application reviews andphone interviewers for the Institute site. Train CDPHLT application reviewers in scoring protocol.

  8. Scores CDPHLT student applications. Participate in interviewing CDPHLT students.

  9. Tracks and understands registration process for scholars. Ensures completion of competencies andprogram requirements, housing, and travel.

  10. Mentors CDPHLT trainees towards training, academic, and career goals.

  11. Complete curriculum development, implementation, and updates for Learning Management System.

  12. Ensures rooms are schedule rooms and AV equipment and support availability.

  13. Ensures that program related information documentation is up to date in Microsoft Teams and Qualtrics.

  14. Develops and update trainee recruitment communications and information on the KKI website. Ensuresrevisions are accurate.

  15. Manages updates of the Center training program applications and recruitment reports.Maintain CDPHLT database, including entering and ensuring accuracy of program activities (i.e., didactictrainings and conference presentations) and products (i.e. submitted and published manuscripts) entered inthe National Information Reporting System (NIRS), coding data for behavioral measure administration,data analysis, maintaining reliability with other research team members and writing summaries of researchresults.

  16. Writes, formats, and drafts peer-reviewed publications including literature searches, data collection, tablepreparation, and informational bulletins in conjunction with the Center Directors.

  17. Manage the Institutional Review Board documentation and annual approved project renewal process.

  18. Disseminates information about training programs, including drafting policies and procedures,memorandum, bulletins, etc. in collaboration with the Center Director.

  19. May provide administrative support for special projects and meetings, take and disseminate minutes asdirected.

Qualifications

QUALIFICATIONS:

  • Individual must demonstrate excellent clerical skills and proficiency in Microsoft Office Suite, includingWord, Excel, Access, and PowerPoint. Helpful to know Qualtrics. Knowledge of statistical softwarepreferred.

EDUCATION:

  • MA/MS in business, communications, administrative studies, social services or research administrationrequired.

  • MPH/MBA Preferred

  • Ph.D. preferred

  • Experience in public health or social sciences field may substitute for one of the degree requirements.

EXPERIENCE:

  • Must have at least four (4) years of progressively responsible administrative experience, preferably in aresearch, social services, or medical setting.
