The Office of the Governor is looking for an Executive Assistant (Executive Assistant I) to work in the Texas Workforce Investment Council.

What You'll Do

This is a job that performs complex (journey-level) professional assistance and administrative support for the Executive Director and/or lead staff of the Texas Workforce Investment Council. Work involves coordinating high-level administrative operations for the Council and acts as the office manager.

  • Serves as the Travel Liaison for the Council. Coordinates travel and reimbursement for Council staff and Governor-appointed members.
  • Serves as the Purchase Coordinator for the Council. Prepares and coordinates all purchase requests and requisitions; serves as the Council's liaison to the Texas Workforce Commission (Councils fiscal agent) and vendors for all purchasing functions.
  • Maintains the Councils administrative databases, to include the Contact database, Correspondence database, and Work Catalog.
  • Prepares and edits complex correspondence, memos, charts, presentations, and spreadsheets - to include the annual preparation of the work plan kickoff and the Council's agency data requests.
  • Provides input into developing and revising administrative policies, procedures, and resources; provides guidance and interpretation on policies and procedures.
  • Receives visitors, answers and screens phone calls, takes messages, and sets-up conference calls.
  • Assists in planning or preparing reports, correspondence, studies, forms, manuals, and publications.
  • Supports timeline and logistics for quarterly Council and biannual subcommittee meetings, as well as other meetings as required by the Executive Director.
  • Prepares notices or agendas for meetings and hearings; serves as the Councils primary liaison to the Secretary of States Texas Register for compliance with the Open Meetings Act.
  • Coordinates calendars, meetings, and conferences; develops itineraries and presentation/ handout materials for the Executive Director and/or lead staff.
  • Serves as the Records Management Coordinator for the Council. Maintains the divisions records management and ARCHIE functions.
  • May communicate objectives, tasks, and decisions to staff on behalf of the Executive Director.
  • May assist with coordination and preparation of administrative assignments, programs, and other administrative matters under the guidance or supervision of assigned lead staff.

How You'll Qualify

One (1) year of experience in an administrative program area or administration management. Note: Experience and education may be substituted for one another on a year-for-year basis.
