JOB DESCRIPTION:

This is a classification in the Inventory & Property Management Job Family. This is complex inventory and property management support services requiring a solid knowledge of inventory and property management principles and techniques. Positions in this classification provide office and administrative support for procuring auditing and billing of software, hardware, and copiers for State Agencies. This position requires knowledge of Master Agreements and a strong preference for good business corresponding. Responsibilities require independent decision-making on the appropriate processes to follow, information to process, and actions to take in accordance with standard procedures.

REPRESENTATIVE TASKS:

  • Act as liaison with Vendors and Agencies for all copier services.

  • Reconcile billing disputes on leased equipment.

  • Complete consumer code changes on leased equipment.

  • Manage services provided by vendors in master agreements with the State of Maine.

  • Manage and audit access to Ordering Systems.

  • Track, update and communicate estimated shipping times .

  • Verify billing for MaineIT leased equipment.

  • Procure software, hardware, and copiers for agencies in accordance with Master Agreements.

  • Assign quote, bid, and purchase order numbers, and add bid quotations by separate costs.

    KNOWLEDGES, SKILLS AND ABILITIES REQUIRED:

  • Knowledge of Advantage ME system

  • Ability to perform work requiring lifting and/or physical exertion may be required.

  • Knowledge of inventory methods and practices.

  • Knowledge of purchasing principles and practices.

  • Ability to interpret Master Agreements

  • Knowledge of spelling, punctuation, grammar, and business English.

  • Ability to query for information.

  • Ability to make intermediate mathematical calculations.

  • Knowledge and ability to use Microsoft Excel.

  • Knowledge and ability to use Microsoft Outlook.

  • Ability to type varied routine business correspondence from draft or original source documents to revised or final form.

  • Ability to organize computerized and/or manual files.

  • Ability to repair, service, clean, and/or maintain applicable equipment as required.

  • Ability to effectively resolve problems.

  • Ability to exercise good judgment in appraising situations and making decisions/recommendations.

MINIMUM QUALIFICATIONS

Training, education or experience in office and administrative support work that demonstrates:

  • 1) competency in applying a solid knowledge of inventory and property management principles and practices to perform complex work in procuring or selling public wares or property and

  • 2) the ability to use independent decision making on the appropriate processes to follow, information to process and actions to take in accordance with standard procedures.

All positions in this classification assume the qualifications of:Inventory and Property Assistant and Inventory and Property Associate I.

The selected candidate will be required to pass the required background checks as a condition of employment.
