Job Summary
The Senior Distribution Specialist Position must take on a major role with the daily operating procedures of Distribution Services. This position will serve as the primary backup for the metering of all outgoing mail, opening and closing of the Contract Postal Unit and the policies and procedures for the proper handling of incoming assets.
Essential Duties and Responsibilities
Assist with reconciling the U.S. Contract Postal Unit cash register which includes completing USPS documentation, completing deposit forms, and verifying that cash in drawer, register transactions for the day, and deposit slips balance and are documented.
Perform the reconciliation function weekly and serve as a backup for the Mail Services Supervisor in the University Center Contract Postal Unit.
Assist with metering mail which consists of ensuring the correct cost center, class of service, sealing mode and other settings are accurately entered and loading bulk envelopes into the meter machines to apply the appropriate postage.
Perform the Meter function weekly and serve as a backup for the Mail Services Supervisor in the Wetsel Mail Services area.
Assist with the removal of hard drives and maintenance of the Distribution Services Hard Drive Report.
Scan asset tags and serial numbers for all assets and hard drives into an Excel document.
Ensure asset descriptions and custodian departments are accurately displayed.
Coordinate with departments regarding scheduling asset pickups and all surplus asset questions.
Perform the hard drive removal function and maintain the HD report weekly.
Serve as a backup for the Supervisor Property Management in the Wetsel Distribution Services area.
Assist with work requests, including moves, event set-ups and rentals, document destruction and non- asset surplus pick-ups.
Process incoming freight deliveries for Distribution Services.
Research shipping and receiving information and accurately enter data into the internal tracking system.
Maintain and establish effective relationships with internal and external customers and vendors.
Assist with the implementation of policies and procedures for proper handling of incoming assets, accurate documentation of information for UT-Share input and communication with the encryption department and OIT
Performs all other duties as assigned.
Minimum Qualifications
High School diploma with four (4) years’ experience in warehouse/dock/receiving.
Two (2) years’ experience in cash handling and mail room services.
Ability to learn new systems.
Preferred Qualifications
Bachelor’s degree with six (6) years of experience in warehouse/dock/receiving
Four (4) years’ experience in cash handling and mail room services.
Knowledge, Skills and Abilities
Use of personal computer and standard office equipment.
Proficiency in all phases of work performed.
Solid work ethic, with a results-oriented philosophy and excellent judgement.
Incredibly detail oriented with excellent communication skills.
