Summary

Provide assistance to our internal and external customers, regarding the imaged documents content of the medical record. Perform quality assurance audits & report on vendor images and documents scanned at point of care to assure that information is indexed under the correct patient, under the prescribed indexing scheme and image quality meets departmental/vendor agreed upon standards.

What You'll Do

OPERATIONS

  • Perform QA check on images for Point of Care (POC) scanning and vendor scanning.

  • Upload and index documents originating in the Trinity Health system

  • Query MiChart, OnBase and other legacy systems to access images and indexing attributes to ensure documents are accurate and indexed correctly

  • Ability to name/index documents according to the naming conventions in OnBase and MiChart

  • Understanding of POC scanning processes and the front-end user's processes in MiChart

  • Assist with technical testing of OnBase and/or MiChart functionality. Perform validations and reconciliation activities as needed

  • Expand job-related duties knowledge and skills by attending and participating in continuing education and staff meetings

  • Perform other job-related duties as assigned in order to maintain the efficiency of document imaging processes.

  • Work under fast-paced circumstances to meet deadlines

  • Report unit-specific statistics as defined by management

  • Identify issues and make recommendations for resolution and improvement. Involved in problem solving

  • Communicate with unit leadership regarding process and procedures

  • Assist with development, revision and maintenance of unit training materials and policies and procedures

  • Demonstrate an understanding of University, departmental, and unit policies and procedures and seeks clarification as needed

  • Comply with regulatory, legal, and accreditation requirements and seeks clarifications if needed.

  • Assure compliance with safety programs

  • Keep current with work processes, tools, and clinical and administrative applications necessary to perform job functions

  • Meet or exceed the departmental/unit quality and productivity standards for work performance.

  • Participate and demonstrate an understanding of the Michigan Quality Systems/Continuous Quality Improvement and applies Lean Thinking Concepts in daily work

  • Working knowledge of several computer systems and databases (OnBase, Medical Record Tracking, Outlook, Medicity (Trinity system) and basic Microsoft applications

  • Search for missing documentation for inpatient discharges and the ROI unit for hard to find cases. Utilize MiChart, OnBase, Iron Mountain Connect and other paper systems. Enter the findings into the ROI workspace in Epic. Keep track of issues and findings

CUSTOMER SERVICE

  • Communicate with customers to analyze and resolve common problems, advancing complex issues to supervisors to assure the accuracy of imaged documents

  • Work and communicate effectively with customers and coworkers to accomplish organizational goals

  • Assist customers with all imaging questions/training and issue resolution

Required Qualifications*

  • Certification as a Registered Health Information Technician (RHIT) through the American Health Information Management Association (AHIMA), or an equivalent combination of education and experience is required

  • Ability to work independently or in a team with minimal supervision is required

  • Ability to read and understand complex medical documentation is required.

Desired Qualifications*

  • American Health Information Administrator (RHIA) or an equivalent combination of education and experience is desired

  • Maintains AHIMA certification as applicable

  • Knowledge of medico-legal aspects of health information management, medical terminology, medical treatment methods, pharmacology, patient care assessment, medical documentation requirements, data collection techniques

  • Experience with UMHHC software applications, Windows, experience navigating and locating health information in the UMHHC electronic health record and associated systems is desired

  • Demonstrates excellent verbal and written communication skills for interactions with clinicians and clinical support staff

  • Knowledgeable of Joint Commission standards, CMS regulations, and other regulatory agency record completion requirements

Supervision received

General supervision is received from the Supervisor/Administrative Specialist.

Background Screening
