The role you’ll contribute:

The Design Center Coordinator (DCC) is responsible for organizing how various, complex events are coordinated and scheduled throughout the physical location. This includes working with multiple leaders to coordinate when teams will work from home, work in the office and participate in team meetings. The DCC will independently manage projects and produce reports to leaders. The DCC will order and receive all catering for functions and will coordinate all audiovisual support. The DCC will design all on-site and off-site group experiences including (but not limited to) hotel accommodations, transportation, and meals. The DCC works with IT and building management to ensure all staff and leaders at the Design Center have the appropriate and effective technology and that the building is working and serviced properly. The DCC manages all Design Center and leader calendars. The DCC processes all invoices and reports on the Design Center budget. The DCC will receive all guests and ensure a positive service experience.

· Organize and schedule workspaces for multiple teams based on Design Lab needs

· Independently manage projects and produce reports as assigned by leadership

· Track and report on actual expenses to cost center budget

· Order and receive all catering for functions

· Coordinate AV support

· Design on-site and off-site group experiences including (but not limited to) lodging, transportation, meals, etc.

· IT coordination for Design Center

· Work with building management to ensure building is working and serviced appropriately

· Manage Design Center and leader calendars

· Process all invoices for the Design Center

· Receive all guests and ensure a positive service experience

· Produce presentations as requested by leadership

· Research information as requested by leadership

· Provide tours of the AHS Design Center as requested

· Develop project reports to leadership as requested

· Work closely with leadership to ensure an inspiring, creative, open and productive environment

· Participate in educational opportunities to learn new, creative approaches to facilitation, design thinking, prototyping, innovation, etc.

· Maintain positive relationships across the organization

· Prepare and submit expense reports for leadership

· Coordinate team meetings and events

· Deal discretely and appropriately with confidential information concerning Adventist Health System

Qualifications

· Type 45 wpm with minimal errors

· Skilled in event management

KNOWLEDGE AND SKILLS PREFERRED:

· Knowledge of healthcare administration

· Skilled in the arts (acting, music, poetry)

· Skilled in Improvisation

· Skilled in creative food service and presentation

EDUCATION AND EXPERIENCE REQUIRED:

· Associates degree or equivalent education/experience

· 5 years’ experience as an executive assistant, project coordinator or in a professional support/hospitality function

EDUCATION AND EXPERIENCE PREFERRED:

· Bachelor’s degree in Business, Communications, Hospitality Management or like degree

· Experience in healthcare

· Hospitality experience

· 10 years’ experience as an executive assistant or in a professional support/hospitality function
