POSITION: Event Operations & Exhibitor Services Manager

DEPARTMENT: Events

REPORTS TO: Director of Events

FLSA STATUS: Exempt

Summary

Responsible for the daily activities required to run, maintain, and service the events and/or Facilities by performing the following duties personally or through subordinate or assigned employees:

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Assist the Event Services, Guest Services, and Operations Departments with the scheduling and coordinating the work assignments of staff engaged in set-up/teardown, technical services, exhibit and event services including, but not limited to, electrical orders, power, utilities, internet drops, etc.

  • Coordinates event operation activities with other departments and show-related contractors.

  • Act as a liaison between Event Services/Guest Services and Operations to ensure that room sets are completed on time and per client-approved Event Diagrams, adhering to proper approval and sign-off protocols, including ADA compliance.

  • Manages in conjunction with Event Managers and Operations staff all set-up and change-over functions for the Facilities including, but not limited to, pre-sets, transitions, flips, turnovers, and other advance, day-of, and post-event room logistics swiftly and securely while ensuring adherence to set deadlines for high volume events.

  • Provides management of events and monitors the logistics to the events assigned.

  • Ensure teams have all the details necessary to set up, change-over, and remove events including, but not limited to, products, inventory, parts, or people move from one place to another efficiently and cost-effectively.

  • Work with necessary departments and individuals to maintain inventories on set-up and change-over equipment, tools, and supplies.

  • Enforce Facility rules, regulations, policies, and procedures.

  • Anticipate logistical challenges and provide appropriate solutions. Investigates, analyzes, and resolves event operation issues and complaints.

  • Provide clear, concise, and timely intra/inter-departmental communication. Manages the flow of communication for Work Orders and Change Orders across departments.

  • Ensures that Event Services and Operations departments receive pertinent information for most effective use of the facility and staffing.

  • Assures Facility readiness and smooth operation of event activity.

  • Responsible for the sustainability and recycling efforts of the Facility.

  • Serves as Manager on Duty as required.

  • Assist as needed in all areas of Event Operations and Exhibitor Services.

  • Perform other tasks as assigned.

  • Ability to prioritize and to handle multiple projects simultaneously, with accuracy.

  • Excellent written, verbal, and interpersonal skills required; ability to interact with all levels of staff including management.

  • Ability to effectively supervise staff.

  • Strong customer service skills.

  • Professional presentation, appearance, and work ethic.

Computer Skills

  • To perform this job successfully, the individual should have excellent computer skills.

Certificates, Licenses, Registrations

No certifications are required.

Education and/or Experience

  • Bachelor's Degree with major in Business or Hospitality (Preferred).

  • Minimum of 2 years’ experience in Supervising or Managing in a similar facility

  • Additional experience may be substituted for education

  • Supervisory experience required

Other Qualifications

Ability to work with limited supervision and as a team member. Requires ability to work flexible hours, including nights, weekends and holidays, in addition to normal business hours.
