Summary/Objective: Responsible for processing and posting of all accounts payable invoices to ensure accuracy and timely payment of invoices.

Essential Functions

  • High School diploma or equivalent and 3 years related experience

  • Proficient in Microsoft applications including Word, Excel and Outlook applications

  • Knowledge of construction industry practices

  • Minimum of 3 years accounting experience

  • Must be able to maintain high level of confidentiality

  • Effective Interpersonal skills

  • Excellent communication skills in both oral & written forms

  • Ability to recognize and resolve issues

  • Analytical skills

Responsibilities/Duties

  • Responsible for entering accounts payable invoices in Sage Paperless, matching to receipting line items and working through discrepancies with purchasing

  • Compare vendor statements to Sage data and resolve any missing invoices with other teammates

  • Understanding the accounts payable flow

  • Communicating professionally with vendors on invoices and payment status

  • Pulling invoices from all vendors (i.e. Ferguson, Winnelson, etc.)

  • Ensures that all scanned invoices are done properly by the scanning clerk and that files are in the system properly, scanning back ups as needed

  • Special projects as assigned by other management

Competencies

  • Clerical – Knowledge of administrative and clerical procedures and systems, such as word processing, spreadsheet maintenance, managing files and records, and other office procedures and terminology

  • English Language – Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition and grammar

  • Customer and Personal Service – Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction

  • Computers – Knowledge of computer software, including applications

  • Administration and Management – Basic knowledge of business and management principles, and resource allocation

  • Writing – Communicating effectively in writing as appropriate for the needs of the audience

  • Active Listening – Giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times

  • Reading Comprehension – Understanding written sentences and paragraphs in work related documents

  • Speaking – Talking to others to convey information effectively

  • Time Management – Managing one’s own time as it relates to the position and duties
