Our client is a leading financial services firm dedicated to providing comprehensive financial solutions to our clients. We are seeking a professional and friendly Receptionist to be the first point of contact for our clients and visitors, ensuring a welcoming and efficient office environment.

Job Description:

Responsibilities:

  • Front Desk Management:

  • Greet clients, visitors, and employees with a warm and professional demeanor.

  • Answer and direct incoming phone calls promptly and courteously.

  • Manage the reception area, ensuring it is clean, organized, and presentable at all times.

  • Client Interaction:

  • Assist clients and visitors by providing information and directing them to the appropriate person or department.

  • Maintain a high level of customer service and professionalism in all interactions.

  • Handle client inquiries and provide basic information about the firm’s services.

  • Administrative Support:

  • Manage incoming and outgoing mail and deliveries.

  • Schedule and confirm appointments and meetings.

  • Maintain office supplies inventory and place orders as needed.

  • Perform data entry and maintain accurate records and databases.

  • Assist with the preparation of documents, reports, and presentations.

  • Communication:

  • Serve as a liaison between clients and staff, ensuring effective communication.

  • Notify staff of visitor arrivals and manage the visitor sign-in process.

  • Handle confidential information with discretion and professionalism.

  • Office Coordination:

  • Coordinate meeting rooms and ensure they are set up and ready for use.

  • Assist with organizing company events and meetings.

  • Support the administrative team with various tasks and projects as needed.

    Requirements

  • High school diploma or equivalent; additional education or certification in office administration is a plus.

  • Minimum of 2 years of experience in a receptionist or administrative role, preferably in a financial or professional services firm.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

  • Excellent verbal and written communication skills.

  • Strong organizational and multitasking abilities.

  • Professional appearance and demeanor.

  • Ability to handle sensitive and confidential information with discretion.

  • Strong customer service skills and a client-focused attitude.

  • Ability to work independently and as part of a team.
